TrailerDesk turns your trailer rental business into a website that takes reservations by itself: live availability, add-ons and delivery, card payment with a deposit hold, an e-signed agreement and a license upload — in three steps on a phone.
A contact form or a Facebook message is not a reservation. Someone still has to check the calendar, call the customer back, take a card number over the phone and hope they show up. By then the renter has often booked somewhere that let them finish on the spot.
A trailer rental booking system closes the loop without you: it knows which trailers are free on which days, quotes the exact price including add-ons, delivery and tax, takes the money, places the deposit hold, gets the agreement signed and sends the confirmation. TrailerDesk does that on a branded site at your own domain, and every booking shows up in your admin ready to fulfil.
Availability is checked at the moment of booking, not when you get around to it. The calendar greys out taken days, understands that a trailer returned in the morning can go out again the same afternoon, and locks the trailer for the seconds it takes to complete checkout so two people cannot grab the last 16-foot dump trailer at once. Block-out dates for maintenance or personal use are one click.
If a customer wants dates that are already taken, they can join a waitlist and are texted the moment those dates free up.
Set a daily rate and optional weekly and monthly tiers per trailer, multi-day discounts, weekend or seasonal pricing rules, and the quote is built live as the customer picks dates. Add-ons such as hitches, straps, ramps or a spare tire carry their own prices. Delivery can be a flat fee, a per-mile rate with a free radius, or distance bands. Discount and referral codes apply at checkout.
Checkout runs through Stripe. The rental is charged and the security deposit is placed as a card hold that releases automatically when the trailer comes back clean. Straight after paying, the renter signs your rental agreement on screen, uploads their driver's license and insurance card, and optionally sets a password for their customer portal. You arrive at pickup with everything already done.
Extensions work the same way: a renter who needs the trailer a few more days requests the dates from their portal, the system checks the trailer is still free, quotes the difference at the same rates they booked at, and charges the card.
Confirmation, pickup and return reminders go out by text and email automatically. When the trailer is marked returned, the deposit hold is released, the inspection photos are stored against the booking, and a review request can go out to your Google listing. Everything is included in the single $79.95/month plan with a free 15-day trial.
Taken days greyed out, same-day handoffs allowed, no double bookings.
Priced add-ons, pickup or delivery, flat/per-mile/banded delivery fees.
Card payment plus a deposit hold — not a charge — released on return.
Your rental agreement signed on screen and stored on the booking.
Renters upload documents from their phone before pickup.
Customers queue for taken dates and are texted when they open up.
Confirmation, pickup, return and review texts and emails.
Renters extend from their portal; the system re-checks availability and charges the difference.
yourshop.com, your logo and colours — not a marketplace listing.
Yes. A renter can complete a booking with just their name, email, phone and card. Setting a password for the customer portal is optional and offered after checkout.
The deposit is placed as an authorisation hold on the renter's card through Stripe at checkout. It is released automatically when the trailer is returned, or captured in part or full if there is damage or a late return.
Yes. Staff can create bookings in the admin for walk-ins and phone customers, send a payment link by text or email, and the booking follows the same agreement, reminder and inspection flow.
Yes. Availability is checked against every existing reservation and block-out at the moment of checkout, with a short lock while payment completes, so two customers cannot book the same trailer for overlapping dates.
TrailerDesk hosts the booking site for you at your own domain (or a trailerdesk.io subdomain) with your branding, so you do not need to maintain a separate site. You can point your existing domain at it or link to it from your current pages.
